Office Manager

Description

The Brooklyn Studio is an architecture and interior design firm committed to restoring and enhancing New York City’s historic fabric. Founded in 1997, we have grown from a one-person firm to a dynamic team of more than thirty architects, interior designers, and creatives. The Brooklyn Studio is seeking an Office Manager to join our team full-time.

The Office Manager is responsible for all of the background work that keeps The Brooklyn Studio running smoothly. Always looking for ways to increase efficiency, remove distractions, and optimize resources, the Office Manager is the point person for anything related to the physical office space, HR, IT, and financials. The Office Manager position holds the responsibility for establishing and managing the programs by which the firm operates better for the entire staff. The Office Manager supervises the Studio Assistant and reports to the Director of Operations.

Responsibilities

  • Plan, assign, and oversee work of Studio Assistant
  • Hold monthly Administrative Team meetings (develop agenda)
  • Take the initiative to identify problems/inefficiencies and solve them with input from firm management

Financial Duties

  • Collaborate with the firm’s financial consultant and bookkeeper to manage finances, including depositing checks, tracking expenses in QuickBooks and Monograph, and processing client reimbursables and consultant invoices
  • Handle accounts payable tasks, including paying vendor invoices and obtaining W-9s
  • Process payroll and employee reimbursables
  • Ensure completion of timesheets by all technical staff
  • HR and Staff Support
  • Serve as company liaison with the firm’s PEO: coordinate with the PEO for payroll, staff leaves, benefits administration, terminations, salary adjustments, annual training, and other related tasks
  • Maintain personnel records in both physical and digital formats as required
  • Assist with visa applications and renewals
  • Manage recruitment, onboarding, and offboarding processes
  • Coordinate annual employee reviews and associated preparation

Office Management

  • With Studio Assistant, manage front office reception duties and provide general assistance, including phone system management, conference room preparation, and mail/package distribution. Coordinate with staff as needed to provide guest access to the building.
  • Facilities management: manage ordering of supplies and groceries, schedule repairs and office cleaning, maintain office equipment, and other tasks as needed to maintain a clean, organized studio space
  • Facilitate staff communication by maintaining the internal wiki with admin-specific documentation and drafting/administering admin-related announcements
  • Maintain physical and digital filing systems, including file organization and archiving
  • Plan and coordinate company events in collaboration with the event committee
  • Manage subtenants, including generating monthly rent invoices
  • Handle business management tasks such as license and insurance renewals
  • Assist with gathering business-related documents for project proposals
  • Occasional errands and assistance with meeting setup as required when Studio Assistant is unavailable

Qualifications

  • Three years of experience working as an office manager. Design industry experience is a plus. Knowledge of HR processes also a plus.
  • Strong communication and organization skills and friendly, professional demeanor with visitors and staff
  • Knowledge of general office procedures and equipment
  • Working knowledge of QuickBooks Online
  • Proficient in Microsoft office software
  • Familiarity with Monograph and Asana is helpful but not required

This position is in-person, with some flexibility for remote work. The Brooklyn Studio offers a comprehensive benefits package including subsidized health insurance, matched retirement program, commuter benefits, and paid time off. Annual salary is commensurate with qualifications and experience, in the range of $75,000-$90,000.
